Job Description

We are seeking a proactive and detail-oriented Office Operation Specialist to join our team in the energy equipment manufacturing sector. This role is pivotal in bridging administrative functions with core manufacturing operations, ensuring seamless office workflow, effective cross-departmental coordination, and direct support to production and business objectives. The ideal candidate will be more than an administrator; they will be an integral partner who understands manufacturing processes and contributes to operational efficiency.

Responsibilities

  • Manage daily office administration, including correspondence, filing, and records management
  • Organize and coordinate meetings, conferences, and executive schedules, preparing minutes and tracking action items
  • Do HR recruitment support work
  • Do basic finance and accounting for the office
  • Oversee office supplies procurement, asset management, and vendor relations with a focus on cost control
  • Plan and execute company events, employee activities, and external visits/receptions
  • Maintain a safe, efficient, and professional office environment
  • Collect, compile, and analyze basic operational data
  • Draft, update, and optimize internal administrative processes and documentation (SOPs)
  • Act as a liaison between the office, production, R&D, and sales departments
  • Assist in the preparation of management reports and presentations
  • Maintain company intranet, internal platforms, or official seals and certifications
  • Manage logistics, travel, and accommodations for staff and visiting clients/partners
  • Handle public relations materials and support the company's branding and compliance initiatives

Qualifications

  • Bachelor's degree in Business Administration, Management, Industrial Engineering, or a related field
  • Logistics, supply chain, information management system, Finance and accounting background is preferred
  • Over 3 years of office administration, operations, or executive support experience
  • Experience within a manufacturing, industrial, or technical environment is a significant advantage
